Requests, accounts and your workspace
We use the name, email address, company, website and any optional phone number you submit to review your request and contact you about access. Email verification and account approval are separate steps; approval is performed manually. Account and workspace information is used to provide the service you request. Security and access records help protect accounts and investigate abuse.
Your workspace stores its configuration, prompts, AI answers, analyses and team memberships. Selected prompts and the context needed for their processing are sent to the configured AI providers. Depending on your selections, these include AI platforms and specialised measurement services. Internal AI analysis may also process stored answers. Avoid including personal or confidential information that is not needed for the question.
Hosting and email providers support storage and transactional email delivery. AI and analytics providers may process information outside the European Economic Area. Contact us for information about the providers and safeguards relevant to your workspace.
Cookies and optional measurement
Essential session cookies enable sign-in. We remember your analytics and marketing choices in your browser. Google Analytics on the public production website is active by default unless you reject analytics. It measures visits, trial-link clicks and successfully submitted trial requests, using analytics cookies and usage information. We do not supply form values, account identifiers or workspace content as analytics event parameters. Google Analytics advertising features stay disabled. Google Analytics and the Meta Pixel start by default when no choice has been saved. You can disable measurement for each category through the cookie banner or Cookie preferences in the footer. We respect a previously saved refusal. Meta then receives page visits, a Lead event after a successfully submitted contact request, browser and device information, and cookie identifiers to measure campaigns and show relevant ads. With your consent to marketing measurement, we also use the Meta Conversions API. After a successfully submitted contact or trial request, our server sends a Lead event with your hashed email address and, when provided in international format, hashed phone number, browser information and available Meta cookie identifiers. Meta can use this information to match the request to an advertisement. We use the same event ID to avoid double counting with the Pixel. We do not send your message to Meta or add form values to PageView events. Consent to marketing emails is separate. More about how Meta uses information. Google explains its data practices here.
PostHog in the app and on the website
After your separate consent, we use PostHog EU for product analytics and website improvement. PostHog processes measurement data for us in its EU cloud. We store an analytics identifier in your browser. In the app, usage is linked to your internal account ID after sign-in, and we measure navigation, clicks and selected actions. We can replay masked sessions and analyze technical browser errors. Form values and app text are masked; free-form error messages, console contents and network bodies are not sent. Recordings are currently retained for 30 days. On the marketing website, PostHog supports A/B tests, page visits and events after successful contact or trial requests. We do not record website sessions or collect automatic website clicks or errors. Form contents are not attached to these events. Other analytics data follows the configured PostHog project retention. You can change or withdraw your PostHog choice through Cookie preferences on the website and App analytics preferences in the app. Withdrawal stops further measurement and clears the accessible local analytics identifier, but does not automatically delete data already received.
You can withdraw consent for each category using Cookie preferences at the bottom of the public website. Propps then disables the relevant measurement and clears accessible cookies for that category, such as _ga, _fbp and _fbc. Withdrawal does not erase information previously collected. Optional first-party measurement may also record aggregate visits and the broad source of a trial request after consent.
Email preferences and retention
Verification, password and account-access emails are part of operating your account. Optional report emails and setup reminders have separate preferences, editable in Settings; their emails include an unsubscribe link.
Measurement history is retained according to your workspace agreement. Account and request information is retained while needed to manage the request, provide access and handle associated obligations or disputes. Workspace deletion has a 30-day recovery window. Backup copies are separate from the live database; daily backups are rotated after approximately 30 days, while release/restore backups have separate operational retention. Ask us about removing account data or the retention applicable to your situation.
Your choices and rights
You can email thibault@propps.be to request access, correction, erasure, restriction or portability of your personal data, or to object to processing where applicable. You can withdraw consent to stop processing based on that consent. You may also lodge a complaint with the Belgian Data Protection Authority.
